Progressive Disciplinary Action for Minors

Overview:

The Woodbridge Club (“Club”) is a non-for-profit social club that provides paying Members/Owners with a wide range of social benefits and services such as, but not limited to, swimming, tennis, and various family events.

This policy has been developed to ensure that the Club Director can maintain a safe, friendly and respectful place for all Members/Owners, through use of progressive disciplinary steps to enforce the code of conduct among children of members. This policy applies to all children of minors age 18 and below.

Investigation:

When there is a reported breach of the Club’s Code of Conduct by a child of a member, the Club Director or Assistant Director will investigate the complaint. The investigation shall include speaking to the complaining party, any other individuals involved in the incident and potential witnesses. The investigation will be documented and kept in a confidential record. 

Progressive Discipline for Minors:

Upon completion of an investigation, if the Club Director determines that a breach of the Code of Conduct has occurred, he/she shall follow the progressive discipline outlined below:

1. Upon the first occurrence of the season, the Director will issue a verbal warning to the child and the parents. The Director will document the notification.

2. Upon the second occurrence of the season, the child will lose the privilege of unsupervised use of the Club facilities for 7 days. During that time, the child may use Club facilities and participate in Club activities, but a parent or other adult supervisor (over the age of 18) must be present at the Club and within immediate proximity of the child at all times. The Director will immediately contact the parents, send a formal notification of the loss of privileges, and notify the Executive Board of the action.

3. Upon the third occurrence of the season, the child will lose all privileges to use the Club facilities and participate in Club activities for a period of two weeks. This includes Kidz club, as well as tennis and swimming. No refunds will be issued for activities or events already paid for. The Director will immediately contact the parents, send a formal notification of the loss of privileges, and notify the Executive Board of the action.

4. Upon the fourth occurrence of the season, the Club Director shall refer the matter to the President, who will promptly bring the issue to the Board for further action.

Serious Incidents:

For situations that involve violence, the threat of violence, significant harassment, destruction of property or other serious breaches of the Code of Conduct, the Club Director may, in consultation with the Club President, issue an immediate suspension of all Club privileges pending an investigation. In such cases, whether or not a temporary suspension has been made, at the conclusion of the investigation, the Director may ask the Board to waive one or more progressive steps in this policy due to the seriousness of the issue.

For situations that involve violence, the threat of violence, significant harassment, destruction of property or other serious breaches of the Code of Conduct, the Club Director may, in consultation with the Club President, issue an immediate suspension of all Club privileges pending an investigation and action by the Board of Directors. 

Additional Disciplinary Measures:

Following the completion of an investigation of any incident, the Club Director may recommend additional measures beyond those outlines above based on the specific facts of the case. That could include monetary restitution when the destruction of club or private property is involved, or physical separation of children, or disenrollment of the child from a specific activity (such as swim club) to avoid further conflict.

Guests:

This policy does not apply to guests of Club Members. At the sole discretion of the Club Director, guests that are found to have violated the Code of Conduct or other Club Rules following an investigation, may be removed from the property and barred from returning for the season. In such cases, the Club Director will notify the guest (provided we have appropriate contact information) and the Club Member who invited the guest of the decision. The Director will promptly notify the Club President of the incident, details of the investigation and the decision.

Appeal:

Decisions, other than the issuance of a verbal warning, made by the Club Director under this policy may be appealed. Such appeals should be made in writing to the Club President within 24 hours of being notified of a decision by the Club Director. Such appeals will be brought to the Executive Board for a final decision.
